Terms and Conditions

For bookings where we have taken a deposit, we offer two options:

  1. Refunds. If travel restrictions are in place in the Province or in the destination within the Province that limit or preclude Midnight Sun Travel’s ability to deliver the trip, we will provide a full refund regardless of the date when funds were advanced to us. Midnight Sun Travel does not provide refunds if people have a fear of catching the virus - if the destination is open to visitors and the Provincial Health officer has opened the province to visitors, our regular conditions apply - see Cancellation Policy, below. 

    Before we issue the refund, we will require documentation that your trip cancellation insurance or the credit card you used to purchase the trip will not cover advanced funds if the trip is cancelled due to COVID-19 or other viruses. If the trip includes air, be advised that airlines vary in their refund policies. While our wildlife viewing partners and accommodation providers generally offer full refunds, you may not receive 100% of your deposit.

  2. Credit. We will apply a 100% credit to your trip for this year and for 2021. We will also hold the price you paid this year to the same trip in 2021.

Should you elect to cancel, we will be as flexible as possible and will consider exceptional circumstances.

General Terms and Conditions

Please read the following information carefully. If you decide to travel on a trip with Midnight Sun Adventure Travel and make payment on a tour, you thereby agree to accept the terms and conditions of this contract.

Reservation Policy

A deposit of $1,000 must be received at the time of booking to confirm your reservation. Full payment is required 60 days prior to departure. All prices are in Canadian funds; when your credit card is processed the transaction should reflect the current rate of exchange for non-Canadian customers.

Cancellation Policy

Upon receiving written notice of the cancellation, the following schedule will apply:

  • 61 days or more prior to tour departure: full refund.
  • 60–0 days: loss of all advanced funds.

If you must cancel, we will be as understanding as possible and will make every effort to be flexible. 

General Sales Tax

All prices are subject to 5% GST that will be added to your invoice upon confirmation of booking.

Rates Do Not Include

Tax, personal accident insurance, cancellation insurance, gratuities and baggage handling.

Possible Alterations

Midnight Sun Adventure Travel reserves the right to cancel any trip prior to tour departure. Reasons may include, but are not limited to, unforeseen circumstances associated with operating in wilderness and remote areas, or insufficient bookings. If we do not have our minimum number of guests to feasibly run a trip we will notify you 30 days prior to departure and will refund you the full amount. Midnight Sun Adventure Travel is not responsible for any additional costs that may arise in the event a trip is altered or delayed for reasons beyond our control.

Supplier’s Liabilities

Midnight Sun Adventure Travel acts as an agent for and makes arrangements with airlines, hotels, kayak companies and operators, bus lines, and other independent parties to provide you with travel products, including services and accommodations. Although great care is taken to choose suppliers, we are unable to directly control them and, therefore, we are not responsible for their acts or omissions. The travel services provided by these suppliers are subject to the conditions imposed by the suppliers and their liability may be limited by their tariffs, conditions of carriage, international conventions and agreements. Individual supplier may require travellers to sign a waiver of liability.

Company Liability

There are certain risks and hazards associated with travelling to and in the areas we visit. All travellers must complete and sign a wavier of liability and a medical form which we send to you as part of your pre-departure package. The information you provide Midnight Sun Adventure Travel will be held in strict confidence. Additionally, Midnight Sun Adventure Travel and their respective officers, directors, servants and agents are not responsible for any claims, loss, damage, cost liability or expense arising, direct or indirect, out of injury, accident or death, loss, damage or delay of baggage or other property, or delay, inconvenience, loss of enjoyment, upset, disappointment, distress or frustration, whether physical, mental, or otherwise relating to the provision of travel services including kayak tours, other trips and tours and accommodations.

Force Majeure

Midnight Sun Adventure Travel will not be responsible for the performance of this agreement if prevented or delayed by Acts of God, strikes, accidents, weather, traffic, airport conditions or other causes beyond their reasonable control nor will they be responsible for any loss or damage relating to train cancellations or any other cancellations.


Guests travelling on our overland tours are limited to one suitcase or duffel bag per person with a weight not to exceed 65 lbs (31 kg). This baggage will be carried in the rear of the vehicle or in a luggage trailer. Passengers may also bring a small carry-on bag with them in the vehicle. Luggage on kayak tours will be limited to the amount of space available in dry bags, which are carried in the kayak. Some gateway hotels on our kayak tours allow their guests to store luggage. Kayak trip luggage will be limited to two dry bags which we supply. 

Notes About Passports, Visas and Health Regulations

Everyone traveling by AIR between the United States and Canada, Mexico, Central and South America, the Caribbean and Bermuda is required to present a valid passport, air NEXUS card, or U.S. Coast Guard Merchant Mariner Document.

Everyone traveling between the United States and Canada, Mexico, Central and South America, the Caribbean, and Bermuda by LAND or SEA (including cruises and ferries) may be required to present a valid passport or other documents as determined from the Department of Homeland Security.
